Amherst Hockey Association (AHA)

Team Representative Role & Responsibilities

Thank you for agreeing to serve as the Team Rep for your team.  A great way to look at your role is that the coach is there for the kids and you are there for the parents/guardians.  You are the link between your child’s team and Amherst Hockey Association (AHA).  You are the “Culture Keepers”.

Every head coach is different so it is important that you talk to the head coach so you both have a mutual understanding on division of labor (there are some duties coaches prefer to handle on their own; find out what these may be.) but the below are some of the activities that you should plan to manage.

Communicate AHA News

Depending on your coach’s expectations you will be asked to share information with the team about upcoming events and/or AHA information. How you communicate with your team is completely up to you.  Emails, phone calls, one on one interaction, etc. Whatever you are most comfortable with.  The important thing to remember is that communication is key.  

Cori Check/Safesport/USA Hockey #

All coaches and team reps need to have a cori check, be safesport certified and hold a “Off ice/Volunteer” USA hockey #.

Help Facilitate the Calendar Raffle

Our fundraising efforts help us to control association fees and allow us to defer other organizational costs incurred throughout the course of a season. The largest fundraiser for AHA hockey each season is the calendar raffle. In the month of January, there is a name drawn and a cash prize awarded each day. Each skater must sell $100 worth of calendars (they are $5 each). If they are not sold, the $100 will be added onto the skater’s account.

Your job will be to distribute raffle tickets to each player’s parent/guardian, track ticket sales for your team (you will be provided with a spreadsheet to track), and be responsible for collecting and providing AHA with each player’s money. For every calendar sold after the required amount, $2.00 will be deducted from the skater’s remaining registration balance.

Team Pictures

In early November and early December, each season AHA hosts a team picture night at the Mullins Community Rink. You will be responsible for sharing details about this event with the team.  Also, you will be responsible for providing each family with a photo order form.  Typically, this event takes place on a Thursday evening and we need to keep a tight schedule.  Also, during this time each team takes a team photo.  You will want to make sure everyone is accounted for and ready to take the team photo at the allotted time. LTS/LTP, Girls In-house and the Girls tournament teams will be held on a Saturday.

Paying your team’s half of the referee/timekeeper fees at games

At each game, you will need to pay your team’s half of referees and timekeeper fee. You will be provided with a lump sum of money to do this by the AHA treasurer. Please be advised that a standard GSL game and an independent game have different fee structures. Also there is a single fee up charge. Please review the chart below and additional information will be provided at the team rep meeting at the beginning of the season.

Game Sheet at Home Games

For games you will responsible for roster stickers and adhering them to the game sheet. The Home team is responsible for the game sheet.

Researching and coordinating team participation in special tournaments

Please check in with your coach’s but you may be asked to help research independent tournaments for your team. This could include tournament logistics as well, for example: hotel accommodations, off ice activities at tournaments, team meals.

Organizing end of year activities

Each team and coach likes to handle holiday/end of year activities differently but you may be asked to help.  AHA hosts a special end-of-year banquet to celebrate the season. You will need to help with ticket sales for this event as well as be responsible for a team basket that will be raffled off at the event. Also, if you or your team families take photos throughout the season, you will be asked to provide photos to be shared at the banquet.

Help recruit volunteers

The AHA is a non-profit organization that relies on parent and community volunteers. We operate a coffee table at Amherst College hockey games that we ask families to staff.  Additional volunteers are needed throughout the season for tournaments and community events. We will ask that you help spread the word when volunteers are needed and encourage team families to help. Everytime a family works the coffee table, $25.00 will be deducted from the skater’s remaining registration balance.  We use Signup.com for all volunteer needs, so be on the lookout for those emails.
